When enquiries arrive through emails, spreadsheets and attachments, staff spend time assembling context. We design one workflow to collect the request, extract required fields, flag missing information and define the next step. Intake channels and notifications are agreed with your team; replacing an existing CRM is not the default.
02Documents and item matching
A B2B workflow often starts with a specification: identify items, quantities and requirements, then match them to a catalogue. We define rules for names, units, missing data and ambiguous matches. Uncertain results should go to review, not become automatically confirmed orders.
03Quote preparation with human review
After matching, the workflow assembles a draft quote in the agreed format, with items, terms and notes for your team. A responsible person checks prices, availability, delivery dates and the final content. 04Integrations and phased delivery
We first document one process and test a prototype using anonymised examples. Then we scope connections to email, catalogues, CRM or business systems, together with access controls and an activity history. A pilot tests difficult cases before expansion. Integrations depend on available APIs, data formats and your company’s rules.
05Costs and measurable outcomes
Cost depends on document quality, matching rules, integrations and review requirements. Development, hosting, AI usage and support are budgeted separately. Before the pilot, we record processing time and common errors, then compare equivalent tasks afterwards. We do not promise savings percentages or financial returns without measurements.
